How To Include Days In The Allowance
Some companies include Public Holidays in the allowances allocation of their staff so they need to be deducted from the allowance as leave days. Similarly some companies have closure periods during which staff again need the days deducted from their allowance as leave days. For both of these scenarios Public Holidays need to be ‘included’ in an event allowance.
Include Public Holidays
If you already have a Public Holiday calendar such as ‘UK Public Holidays’ and a Public Holiday leave type ‘Public Holiday’ as shown below
and wish to include those days in the allowance of the leave type ‘Holiday’ you need to set the ‘Include in the allowance of’ field of the Public Holiday leave type to ‘Holiday’. To do this, edit the leave type by clicking on it to highlight it and then either click the ‘Edit Leave Type’ button on the sub menu or right click and choose ‘Edit…’.
Notice that the event type for each entry in the calendar is ‘Public Holiday’, so it is the ‘Public Holiday’ event type that you need to include in an allowance.
Include Company Closures
Similarly, if we want to create a company wide Christmas closure period…
we need to set the ‘Include in the allowance of’ field of the Christmas Close leave type to ‘Holiday’ or whatever holiday type you want to include it in.
Notice that the event type for each entry in the calendar is ‘Christmas Close’, so it is the ‘Christmas Close’ event type that you need to include in an allowance.
On the ‘Allowance’ tab of the My Leave page which all users have access to and elsewhere, such as the Event Types and Allowance page, these included days show as ‘Includes x.00 p/h’ where x is the number of days included and therefore deducted form the user allowance. In this example, 3 days from ‘Christmas Close’ have been included in the Holiday allowance for 2022.
Creating New Calendars And Public Holiday Leave Types
If the leave types and calendars do not already exist as shown above then you can create them on the Public Holidays page. To create a new Public Holiday calendar click the New Calendar button on the sub menu which will take you to the Calendar Details page.
To create a new Public Holiday leave type, click the New Leave Type button on the same sub menu which will take you to the Leave Type Details page.
