Approver Setup

The Approver setup page allows an administrator to specify who approves leave and optionally overtime for which users.

Event Types Approver Setup

 

Up to three approvers can be selected for leave requests. Only Line managers and Administrators can act as approvers. If no approver is selected then the leave request will be automatically approved and the approval system bypassed. Up to two 1st level approvers can be selected, 1st level approver A and approver B. Normally, approver A would approve requests but sometimes it is useful to be able to specify an alternative 1st level approver who can also approve the leave. So, either approver A OR approver B can approve the leave. In addition, a 2nd level approver can be specified whose approval is required to finally approve the request once a first level approver has already approved it.

Configure Approvers For

This setting allows you to select the leave type for which you want to assign approvers from a drop-down list of available leave types.

Team Leaders Are First Level Approvers

When ticked, this setting assigns the work group team leader as the first level approver for all users in the respective work group for the selected leave type.

The Approver Table

The main display has 6 columns and a row for each user who can request the selected leave type. Each column header has a filter ‘Funnel’ icon which allows the displayed user list to be filtered to create a shorter list. If you click on the icon in the header you can then enter the filter text. An ‘X’ is displayed on the far right hand side of the header box which if clicked will clear the filter text. Clicking anywhere outside the header will close the filter dialog leaving the filter active. Multiple filters for different columns can be active simultaneously.

Name

This field is read only and displays the user’s name and is also a link to their ‘Employee Details’ page.

Workgroup

This field is read only and displays the work group that the user belongs to.

Team Leader

This field is read only and displays the team leader for the work group the user belongs to. When the ‘Team Leaders are first level approvers’ box is not selected, this field is greyed out and is inactive. When the ‘Team Leaders are first level approvers’ box is selected, the team leader becomes the 1st level approver for all users that have no 1st Level Approver A or B assigned.

1st Level Approver A

This setting allows you to assign the 1st Level Approver A from a drop down box with a list of possible approvers.

1st Level Approver B

This setting allows you to assign the 1st Level Approver B from a drop down box with a list of possible approvers.

2nd Level Approver

This setting allows you to assign the 2nd Level Approver from a drop down box with a list of possible approvers. You can only assign a 2nd level approver if a 1st level approver has already been assigned.

The Approver Setup Sub Menu

Near the top of page, just below the main menu is the Approver Setup sub menu which has two buttons as follows:

Clicking this button will take you to the Approver Tree page which provides an alternate perspective of the leave approver setup.

Overtime / TOIL Approver Setup

If ‘Overtime Approvers Configuration’ is selected for ‘Who should receive overtime requests for approval?’ in the ‘Overtime/TOIL’ section on the ‘Company Settings’ page then the ‘Approvers’ page can be used to select approvers for overtime as well as leave types. A new tab ‘Overtime/TOIL’, in addition to the ‘Event Types’ tab will appear on the page to allow you to specify who approves overtime and TOIL for users.

This works in a similar way to the ‘Event Types’ tab where you can additionally assign approvers to users for overtime and TOIL. On this tab, there is only 1st level approver A, no approver B and there is an extra ‘Copy’ button on each row to allow the approver assignment from the ‘Event Types’ tab to be copied across to the ‘Overtime/TOIL’ tab.

The Copy Approvers Button

 

If a copy button is clicked a pop up windows will appear. This allows you to choose the event type from which to copy the approver from using a drop down menu. Then the primary approver (1st level approver A) and secondary approver (2nd level approver) from the selected event type are displayed. You can then either select ‘Cancel’ to return to the approver setup page without making a change or ‘Submit’ which will copy the approvers across.
